Обязанности | • Performs tasks set by management and immediate manager. • Renders technical support to Administrative Group (copying, printing, scanning etc.). • Coordinates travel and meeting arrangements, prepares reports and financial data as directed by Administrative Manager. • Prepares itineraries, trip files and supplies and completes expense report after the trips for Administrative Group employees. • Performs administrative and office support activities for Administrative Group. Arrangement of visitors’ acceptance: ordering of passes and escorting visitors, monitoring of meeting rooms’ condition before and after the meetings (cleanness, absence of undue documents, availability of stationary and its functionality). • Handling of stationary requests and its distribution between departments. • Also may assist other administrative staff, including travel arrangements, broader administrative issues, data entry, and other tasks. • Prepares timesheets and ensures time recording for Administrative Group personnel. • Handles tasks given by management team on any business-related and personal matters. • Maintenance of telephone and information base of management (contacts, birthdays of employees). • Monitoring of receipt and sending of incoming and outcoming correspondence (documents, letters) for Aktogay Expansion project departments, its timely transfer. Observance of confidentiality of incoming and outcoming correspondence. • Facilitation of management work in such a way as to release them from administrative issues. • Updates and monitors delegated tasks to ensure timely work performance. Checks deadlines on incoming requests and timely informs management on their status. • Works with Travel Coordinator on booking air flights, hotel reservations, arranging visas, meetings and making other travel arrangements for Administrative Group personnel. • Acts as a key person on any HR related issues for Administrative Group personnel (time sheets, orders, requests for leave, etc.). • Arrangement of accommodation for Company employees’ as well as for visitors in Aktogay Expansion Construction camp. Control and coordination of performance of contractor on maintenance of office building and accommodations. • Execution of other instructions of immediate management. |
