• Under the direction of Health Services Manager the job holder is responsible for:
• The job holder’s responsibilities may include but not limited to the following:
• Ensure and maintain effective relations with NCOC Departments (ICT, Travel, C&P, Finance, Office Support etc.) and other Companies part of TSA and external parties
• Calendar Agenda maintenance including departmental leave schedule, scheduling of meetings, confirmation of attendance, facilities, date and time etc.
• Ensure confidentiality of department communications and company information as well as respect the privacy of sensitive personnel data.
• Recording and distribution of minutes of meeting as required.
• Arrangement and administration of Departmental travel.
• Maintenance and development of Departmental filling and administration systems.
• Administration of Departmental invoices and expenses in close relationship with Contract Administrator and Cost Controller
• Improve Departmental support in proactive way.
• Ensure continuity during absence of Department members, being involved in and fully aware of departmental matters, taking own initiative and seeking advice if necessary.
• Serve as a key point of contact for the Department within the Project and with external parties
• Support HR dept in FTW documentation
• Handle Departmental correspondence including directing communications to appropriate recipients and providing relevant information.
• Produce and provide routine reports, presentations and other departmental information as necessary.
• Provide administrative training to new and temporary employees allocated to the medical department
• Providing with SAP Support system (making travel requests and closing expense reports, timesheets)
• Update OPMS (Offshore Personnel Monitoring System)
